Employee Tuition Affordability Program FAQ
The UTA-ETAP provides tuition assistance for up to 6 credit hours per semester for full-time employees and up to 3 credit hours per semester for part-time employees (including the summer semester), for UTA undergraduate and graduate courses including Accelerated Online Programs (excluding Nursing Accelerated Online Programs). There is no minimum enrollment credit hour requirement for the UTA-ETAP.
UTA-ETAP does not apply to room and board charges, textbooks and supplies, transportation, personal/miscellaneous costs, parking costs, late fees or financing fees, travel expenses, or incidental items, including those required by the instructor, e.g., calculator or specific software.
The UTA-ETAP cannot be used for any other cost of instruction, Executive MBA or other executive degree programs, Nursing Accelerated Online Programs or classes offered through the Division of Enterprise Development.
UTA-ETAP is not applicable for auditing classes.
The UTA-ETAP cannot be used in place of any other tuition waiver, grant, or scholarship which an employee receives. In the event that an employee receives a partial tuition waiver, grant, or scholarship, the UTA-ETAP may be used for the remaining tuition expenses.
Employees' spouses, children and other family members are excluded from the UTA-ETAP. There is no limit on the number of UTA-ETAP recipients.
Yes, with the exception of Nursing accelerated online courses, UTA-ETAP is available on-campus, online classes, and hybrid based for-credit courses.
No. The UTA-ETAP is to be used for on-campus courses found in the UTA official course schedule.
The Employee Tuition Affordability Program begins the summer 2023. The Employee Tuition Affordability Form will be available March 1, 2023. Employees are able to begin submitting applications to schol@uta.edu starting March 20th, 2023.
Completed forms must be submitted to the Scholarship Office at schol@uta.edu, no later than 15 business days before the start of each semester and no earlier than 8 weeks prior to the start of the semester.
If one or both of your courses are pending approval or has not been determined, complete the UTA ETAP application, and obtain proper approvals by the application deadline, noting TBD in the course Information section. Once you have registered and been charged for the course(s), send an email to schol@uta.edu, notifying them of the course information. Financial Aid and Scholarships can add the additional funds at that time. Please note Financial Aid and Scholarships will only be able to load funds to match hours on actual registration/charges.
The UTA-ETAP is capped only by the number of semester courses per eligible employee and program limitations, and has no maximum amount of tuition assistance per calendar year.
No, dependent children and/or spouses are not covered.
Funds will be applied to your MyMav account within 15 days of the Scholarships Office receiving a fully completed and approved application, but no earlier than 10 days prior to the beginning the term.

The MyMav system reflects cumulative GPA, and this is the information that will be used to determine if you are eligible for an UTA-ETAP disbursement. Please refer to the policy for the minimum GPA requirements.
You must maintain Successful Academic Progress (SAP) for all credit hours requested under the program.
The employee is eligible to receive the UTA-ETAP only for courses in which they received a grade of at least:
- "C" (2.0 grade points) or higher for undergraduate courses (Specific programs may require higher grade); or
- "B" (3.0 grade points) or higher for graduate courses.
In order to continue to be eligible for the UTA-ETAP, the employee must meet the following requirements:
- Maintain a GPA of:
- 2.5 as an undergraduate student; or
- 3.0 as a graduate student.
- Receive a final grade for each course.
An employee is not eligible to continue participation in the UTA-ETAP, if the employee receives a grade of "Incomplete" or "Withdrawal".
Tuition assistance cannot be used in place of any other tuition waiver, grant, or scholarship that an employee receives. However, in the event an employee receives a partial tuition waiver, grant or scholarship, tuition assistance may be used for the remaining tuition expenses.
Since I am employed under a federal grant, do I still qualify for the Tuition Affordability Program?
As long as you meet the benefits eligibility requirement, you do qualify for UTA-ETAP.
Tuition assistance received for undergraduate courses under the UTA-ETAP is excluded from the recipient’s gross income. Tuition assistance received for graduate courses under the UTA-ETAP up to $5,250 per calendar year is excluded from a participant’s gross income. Once the UTA-ETAP exceeds $5,250 in graduate benefits for the calendar year, graduate tuition benefits are taxable to the recipient. Recipients will be responsible for paying taxes on any amount over $5,250 for graduate courses.
Yes, employees may take classes during normal business hours during the fall, summer, and spring terms for up to three working hours.
A recipient must sign an agreement to remain employed by the University for at least one (1) full year after completion of courses or the undergraduate or graduate degree program, beginning with the month after the month in which the employee completed the course or undergraduate or graduate degree program.
