Important Changes to Proposal Submission Deadlines – Effective January 1, 2026
To uphold the University of Texas at Arlington’s commitment to research excellence and operational accountability, new procedural deadlines for proposal preparation and submission will take effect January 1, 2026. These deadlines are a necessary step toward ensuring a more consistent, efficient, and well-supported proposal process across the institution.
Information Sessions: Three information sessions will be offered for in-person and online attendees. Those who participate will have the opportunity to ask any related questions they may have for the OGCS team.
- November 14, 2025: Information session (online and in-person at 11 a.m.)
- December 11, 2025: Information session (online and in-person at 9 a.m.)
- January 6, 2026: Information session (online and in-person at 4 p.m.)

To ensure comprehensive review and effective support, UTA has established clear deadlines and procedures for proposal preparation and submission.
Standard Proposal Submission Process
Early Notification
- Notify OGCS: Principal Investigators (PIs) must notify the Office of Grant and Contract Services (OGCS) of their intent to submit a proposal at least 15 business days before the sponsor’s deadline or desired submission date.
- Early notification allows OGCS to allocate resources and provide tailored support throughout the proposal development process. Include sponsor details, solicitation link, and information about subawards or foreign participants if applicable.
- 5 Business Days Before Deadline: Submit all non-technical documents (budget, justification, biosketches, current & pending support, facilities/resources, internal forms, subaward documents) in final format to OGCS.
- 3 Business Days Before Deadline: Submit all technical documents (project description, research plan, abstract, specific aims) in final format to OGCS by 8 a.m.
- OGCS will review all documents and submit the proposal to the sponsor.
Anything received after the stated number of days prior to the sponsor deadline or desired submission date will require completion and approval of an exception form in order to be able to submit.
