Prior State Service Verifications

EMPLOYEE PRIOR STATE SERVICE

State service is used to determine the monthly longevity pay and vacation accrual amount for eligible employees. Faculty, staff, and student workers, full or part time, accrue state service as an employee. Service credit accrues for an entire month unless:

  • Employment started on a day other than the 1st of the month
  • Employee was on a leave without pay the entire month
  • Employee was on a work break during the month
  • Employee returned from a work break during the month

Who Earns Texas State Service Credit? Texas state service credit is earned by faculty, staff, or students employed by a Texas state (public) agency. Other non-Texas state or public employment is not transferable. A list of acceptable state agencies are found here.

Note: Employment at an independent school district or community college in Texas does not qualify as state employment for vacation leave and longevity pay.

Next, submit to the previous state agency/institution's HR department. If you are not able to locate a contact email for your prior agency, please reach out to hrrecords@uta.edu for this information.

The prior state agency is responsible for completing the form and emailing it back to hrrecords@uta.edu. We will not accept the form from the UTA employee themselves. When we receive this form, any prior state service that has been verified will be logged into your profile.

It may take up to 30 days for your previous agency to return the form. If it has been more than 30 days, we recommend that you follow up with them, as we cannot process the request until they reply directly to us. Once we receive the form, our normal processing time is 3 to 5 business days

Longevity pay will be added to monthly paychecks of eligible employees for every 24 months of state service. The number of service months as of the first day of a given month determines the amount of longevity pay. Longevity Pay Policy

Any necessary updates to sick or vacation accruals for eligible employees will also be added to TCP. Vacation Leave Policy

 

How to View Total Texas State Service:

Log onto www.uta.edu/utshare.

From the "Employee Self Service" homepage, select "Time and Attendance", then "Absence Balance Details", and lastly the "State Service" tab.

Note: Since the conversion of Time Clock Plus (TCP), the State Service and Retirement Program tabs are the only tabs that are kept up to date past 4/1/2022. The other information can be found on your TCP account.
