Glossary of Common PostAward Terms

Allowable Cost |
A cost that is permissible under the terms and conditions of the award and applicable regulations. |
|
Allocable Cost |
A cost that can be assigned to a specific project or activity in proportion to the benefit received. |
|
AOR (Authorized Organizational Representative) |
The institutional official authorized to submit proposals and accept awards on behalf of the institution. |
|
Budget Justification |
A narrative explanation of the budget, detailing the purpose and necessity of each cost. |
|
Carryforward |
The process of moving unobligated funds from one budget period to the next. May require sponsor approval. |
|
Cost Share |
The portion of project costs was not paid by the sponsor but instead, contributed by the institution or third parties. |
|
Cost Transfer |
The reassignment of an expense from one funding source to another. |
|
Direct Cost |
A cost that can be specifically identified with a particular project (e.g., salaries, supplies). |
|
Effort |
The proportion of time an individual devotes to a project, expressed as a percentage of total institutional responsibilities. |
|
F&A (Facilities & Administrative Costs) |
Also known as indirect costs, these are expenses incurred for common or joint objectives. |
|
IBS (Institutional Base Salary) |
The annual compensation paid by the institution for an employee’s appointment, used to calculate effort. |
|
Key Personnel |
Individuals who contribute significantly to the scientific development or execution of a project. |
|
No-Cost Extension (NCE) |
An extension of the project period without additional funding. |
|
Notice of Award (NOA) |
The official document from the sponsor that authorizes funding and outlines award terms. |
|
PI (Principal Investigator) |
The individual responsible for the overall conduct of the project. |
|
Prior Approval |
Written permission from the sponsor is required before undertaking certain activities or changes. |
|
Program Income |
Gross income earned as a result of the award-supported activity. |
|
RPPR (Research Performance Progress Report) |
The annual progress report required by NIH and other agencies. |
|
Subaward |
A formal agreement with another organization to perform a portion of the project’s scope of work. |
|
UT Share |
The institutional financial system used for award management and reporting. |
