PI Handbook - Grant Award Basics

Congratulations on your new award! To effectively manage your project, it is crucial to thoroughly understand the terms, conditions, and requirements outlined in the award document.

  • Award Notification: A formal document from the sponsor, such as a Notice of Award (NOA), contract, or Grant Agreement, outlining the funding provided, project period, and specific conditions of the award.
  • Budget: The approved financial plan for the project, detailing allocations across categories such as salaries, supplies, travel, and indirect costs.
  • Scope of Work (SOW): A detailed description of the project’s goals, objectives, and expected milestones.
  • Deliverables/Reports: Includes the due dates, submission mechanisms, and types of reports required by the sponsor.
  • Terms and Conditions: Specific rules and requirements set by the sponsor, including guidelines on allowable costs, prior approvals, reporting deadlines, intellectual property, and data management.

PIs are responsible for the overall administration of the sponsored project as outlined in the document Understanding PI responsibilities. A few key items to note are:

  • Carefully review your award document to identify key obligations and deadlines.
  • Understand any restrictions or special conditions imposed by the sponsor.
  • Reach out to the PostAward office in a timely manner with any questions or concerns about the award documents or if changes arise during the project that may have compliance implications.

The PostAward office is here to assist you in interpreting your award terms and addressing any concerns. Additionally, we offer award kickoff meetings with PIs upon request to help ensure a smooth start to your project.
